Google Postmaster is a helpful tool in managing the health of your email marketing platform. You need to add a TXT record in your DNS to get insights of your domain health and sending practices.

Once the setup is complete it would help you with points like:

Go to Sender Domains and click Setup (highlighted below) on the domain for which you want to set up Google Postmaster

 Read the steps in the modal and click on Go to Postmaster (it’ll take you to Google Postmaster)

How to Setup Google Postmaster for Your Domain?

A higher domain reputation means emails from your sending domain are less likely to get filtered to a recipient’s spam folder.

To view your domain reputation, you need to add your domain to Google postmaster. 

The definitions of spam below includes mail detected as spam by Gmail’s Spam filter, and mail reported by users as Spam.

 A history of sending an enormously high volume of spam. Mail coming from this entity will almost always be rejected at SMTP or marked as spam.

 Known to send a considerable volume of spam regularly, and mail from this sender will likely be marked as spam.

 Known to send good mail, but has occasionally sent a low volume of spam. Most of the email from this entity will have a fair deliverability rate, except when there’s a notable increase in spam levels.

 Has a good track record of a very low spam rate, and complies with Gmail's sender guidelines. Mail will rarely be marked by the spam filter.

 Keep in mind that spam filtering is based on thousands of signals and domain reputation is just one of them.

Granting read access to verify@mailmodo.com

Once you have added your domain to Postmaster, you need to grant read access to Mailmodo.

 and click on the ellipsis icon against your domain. Click on Manage Users.

Click on the plus icon on the bottom right corner of your screen.

You will see a confirmation screen that read access has been granted to 

Once you have granted read access to Mailmodo, you should be able to see your domain reputation corresponding to your domain in Mailmodo under Settings->Sender Domains.

Please note that domain reputation is calculated based on campaign performance on Gmail email client only. 

Usually, when daily email volume is less than 500, domain reputation data may not show. There is a certain daily email volume threshold for data to populate in Google Postmaster Tool.

Troubleshooting issues with the SPF record

There may be a situation where even after adding the requisite 

 records, the domain verification fails and an error message similar to this is displayed:

Solving this problem requires inspecting the DMARC and SPF records that have been added, and subsequently changing them if incorrect values have been entered.

To check the SPF record that has been added to your domain

Enter your domain name, and click on MX Lookup

Next, click on the drop-down next to MX Lookup, and you can check for SPF record for your domain:

Now, verify the SPF record against it's correct value, which will be based on the ESP (Email Service Provider) you are using. A sample SPF record is shown below:

Troubleshooting issues with DMARC Record addition

Even after adding the sender ID and domain records, you may still experience issues with Domain Verification. Following are the issues you may encounter and their resolution:

After configuring sender domain with AWS SES SMTP and integrating it with Mailmodo, upon clicking 'Verify' under Domain Authentication on the Sender Settings page in Mailmodo, you may see the following error:

This mostly occurs due to either of these 2 reasons:

The verified identity is new and is in sandbox
When you first starts using Amazon SES, their account is in the Amazon SES sandbox. In the sandbox, you will have full access to the Amazon SES API and SMTP interface, with some restrictions on sending speed and volume.

The domain and SMTP have been configured in different regions
While adding your domain in AWS SES and subsequently configuring it in Mailmodo, you need to ensure that the SMTP Server is configured in the same region as your verified domain. If not, they need to be re-configured in the same region.

Email verification issues with Google SMTP

Upon integrating Google SMTP for sending bulk mails from their Gmail IDs, you may observe this error message upon clicking 'Verify' under Domain Authentication on the Sender Settings page in Mailmodo:

This happens when you enter your Gmail login password in the 'SMTP Password' while configuring the Custom SMTP

Instead, a 16-character password needs to be generated from the Google Account settings and entered in the SMTP Password field.

Email verification issues

Bounced email is an email returned to the sender as it cannot be delivered for some reason. There are two kinds of bounced email: 

Hard bounce e-mail is permanently bounced back to the sender because the address is invalid.

Soft bounce e-mail is recognized by the recipient's mail server but is returned to the sender because the recipient's mailbox is full, the mail server is temporarily unavailable, or the recipient no longer has an e-mail account at that address.

Previously hard-bounced email recipients are automatically removed from your recipient list while sending a campaign

Soft-bounced email recipients are temporarily removed from your recipient list for 48 hours and if an email repeatedly soft bounces 7 times, then the recipients are removed from your recipient list permanently. 

Recipient list = Total contacts - (Previously hard bounced contacts + Soft bounced contacts in the last 48 hours + Contacts repeatedly soft bounced 7 times)

Please note that the unsubscribed contacts will also be removed from the final recipient list

What is a bounced email and how does Mailmodo handles it?

Inactive contacts are email subscribers who have not opened or clicked your emails in the past. They may have signed up for your email list earlier, but for various reasons, have not been active or interacted with your emails. Sending emails to inactive contacts may impact your campaign performance and sometimes invite poor deliverability. 

For your marketing campaigns, ideally, active subscribers should be kept high in the audience list compared to inactive ones. But not always one can have that luxury. To engage with inactive contacts, you can use these strategies - 

 Identify users based on engagement history and further segment them based on various factors such as age, gender, location, and interests. This will help you to create targeted campaigns and increase the chances of getting a response from inactive contacts. Check this 

 Your email should provide value to the subscriber, whether it's through informative content or exclusive offers. This will make it more enticing and can encourage subscribers to engage with your brand. You can try blog-based emails, newsletters, or a win-back 

 Try a targeted email campaign that aims to re-engage with inactive contacts. You can offer special promotions or discounts, ask for feedback or offer incentives for re-engagement.

Remind users about upcoming deals or offers

Follow up with them after they don't revert to your first email

Collect feedback to understand the reason behind disengagement

Ask them to manage your preference to get more relevant email content

 Personalize your emails by addressing the subscriber by name and tailoring the content to their interests and preferences. This can make your emails more engaging and relevant to the subscriber, increasing the chances of a response.

 A catchy and compelling subject line can grab the attention of inactive contacts and encourage them to open your email. Try different subject lines and test their effectiveness to find out what works best for your audience. You can also A/B test your campaigns. 

6. In the end, if your contacts still don’t interact with your emails despite these actions, you can phase out such users from your email list. Check this

By using these above techniques, you can reignite the interest of inactive contacts in your brand and possibly transform them into valuable customers.

How to engage with inactive contacts

Whitelisting is a verification process carried out by Google & Yahoo. If a new sender wants to send AMP mails to users, they need to get their sender address registered and approved. This article will explain how to whitelist a sender address in Mailmodo.

1. Please note that it may take upto 15 days to get AMP approval for your sender email. However, you can still send HTML campaigns from that sender.

2. To avoid the possibility of AMP rejection make sure you have a landing page for the domain you have added. If not, you should set redirection to the website you are mentioning in the AMP form.

 Once domain records have been updated, expand the domain accordion and click on "Apply for AMP approval" CTA.


  Next, fill out the following whitelisting form:

The form filled here is directly sent to Google along with an AMP email. It takes up to a week for the approval process. You will receive an email when the whitelisting process is complete.

In email marketing, bounce rate is the percentage of email addresses from your subscriber list that didn’t receive the email because the recipient’s mail server returned it to you.

Bounces can happen for various reasons, but a healthy bounce rate is generally less than 2%. Higher bounce rates can impact the sender’s reputation, affecting the deliverability of your campaigns.

Mailmodo takes the following actions for senders with high bounce rates:

bounce rate exceeds 20% and the bounce count reaches 4000

A running bulk campaign will be canceled only if:

Triggered or journey campaigns will not be canceled under any circumstances

You will receive an email only if a campaign is canceled

What Is the Impact of a High Bounce Rate on My Campaigns?

Put simply, SPF, DKIM and DMARC are ways to authenticate your mail server and to prove to ISPs, mail services and other receiving mail servers that senders are truly authorized to send email. When properly set up, all three prove that the sender is legitimate, that their identity has not been compromised and that they’re not sending email on behalf of someone else.

These antispam measures are becoming increasingly important, and will one day be required by all mail services and servers. ISPs and mail services, such as Gmail and Office 365, are getting more and more stringent in the types of email they’ll accept, so having all three checks configured ensures that email gets delivered and isn’t rejected outright or otherwise delayed.

 is an acronym for “Sender Policy Framework”. As with all three checks, SPF is a DNS TXT record that specifies which IP addresses and/or servers are allowed to send email “from” that particular domain. It’s essentially like the return address that’s placed on a letter or postcard that lets the recipient know who sent the communication. The idea is that if they know who sent them the letter, the recipient is more likely to open it. In this example, though, the “recipient” is the receiving mail server, not the actual person being emailed.

 is an acronym for “DomainKeys Identified Mail”. It’s also known as “email signing”. Just like an SPF record, DKIM is a TXT record that’s added to a domain’s DNS. And if SPF is like a return address on a letter, DKIM is like sending that letter via Certified Mail as it further builds trust between the sending server and receiving server. That’s because DKIM’s intent is to prove that the contents of an email message haven’t been tampered with, that the headers of the message have not changed (e.g., adding in a new “from” address) and that the sender of the email actually owns the domain that has the DKIM record attached to it. (Or is at least authorised by the owner of the domain to send emails on their behalf).

Unlike SPF, however, DKIM uses an encryption algorithm to create a pair of electronic keys -- a public and a private key -- that handles this “trust”. The private key remains on the server it was created on, which is your mail server. The public key is what’s placed in the DNS TXT record. Because of this relation, DKIM records generally need to be created and managed by Domain Administrators. And while the private key is kept private, the public key is generated by a tool on the mail server and can easily be copied and pasted into a TXT record with that domain’s DNS provider (e.g., GoDaddy, eNom, DynDNS, etc.). In addition, Domain Administrators have control over all DKIM settings for a domain, and these can be changed and edited as needed. The new record simply needs to be re-added to a domain’s DNS.

 is an acronym for “Domain-based Message Authentication, Reporting and Conformance”. It’s an email authentication, policy and reporting protocol that’s actually built around both SPF and DKIM. It has three basic purposes:

It verifies that a sender’s email messages are protected by both SPF and DKIM,

It tells the receiving mail server what to do if neither of those authentication methods passes, and

It provides a way for the receiving server to report back to the sender about messages that pass and/or fail the DMARC evaluation.

Since DMARC uses both SPF and DKIM, you may wonder why it’s even necessary. Well, it’s simple: DMARC basically builds on SPF and DKIM to ensure that, when an email is received, the information contained in both records matches the “friendly from” domain (e.g., me@my-domain.com) that the user actually sees and the from address that’s contained in the message’s header.

The most basic answer to that question is “yes” and “no”. While SPF and DKIM are gaining wider adoption, DMARC is still something that is taking a while to catch on. That said, prudent email administrators WILL get all three set up for the domains they manage as more and more ISPs and email providers are beginning strict enforcement of all three. As the saying goes, “an ounce of prevention is worth a pound of cure.” For email, this has never been more true. Having all three records in place shows that your email domains are truly who they say they are. It also shows that you as an administrator, and your domain administrators as well, are all serious about ensuring you’re following best practices and doing your part to prevent spam, phishing and other email security issues.

What are DKIM, DMARC and SPF, and why are they important?

There’s a rumor making rounds that Gmail has blocked all open tracking. This isn’t true.

If you’re following best practices—sending to people who have opted in and maintaining a healthy sender reputation—there’s no need to worry. Open tracking continues to work as expected, with standard limitations like MPP (Mail Privacy Protection), proxy servers, and pre-fetching in place.

To set the record straight, Gmail hasn’t made any recent broad changes that block open tracking.

Some senders might encounter the warning: ”Images in this message are hidden. This message might be suspicious or spam.”

If your recipients are seeing this, it’s likely due to one of two reasons:

Are you new to email marketing or have you recently switched to Mailmodo, changed your IP addresses, or domains? If so, don’t panic. Continue with your

 and build your sender reputation by sending engaging emails to people who’ve opted in. 

This warning should disappear as your reputation improves.

If your emails are unwanted or engagement remains low, this warning may persist, or worse, your emails could end up in the spam folder. Gmail is essentially signaling that while your reputation isn’t terrible, it’s low enough to cause concern.

 If this was a test email sent via Mailmodo, it’s possible that the domain has a no reputation (i.e., not enough emails have been sent from this domain yet). We regularly add new domains for sending test emails, so this can happen occasionally. However, it should not be a matter of your concern as this wouldn’t affect the deliverability of your real campaigns.

Gmail hasn’t made any sweeping changes to open tracking or pixel tracking. As long as you’re sending quality, permission-based emails, open rates should remain unaffected. The warning banner seems more common for cold email campaigns or low-reputation senders, but it’s not widespread.

Keep following best practices, and you should have no trouble with Gmail or open tracking.

Why Is Gmail Showing, “Images in This Message Are Hidden”?

Email domain warmup signals your service provider that you are not a robot or scammer. Preparing a high-volume campaign from a new account is crucial. 

With Mailmodo’s Fragmented Scheduling feature, you can schedule bulk email campaigns in increments over seven days. In 2019, Google took more stringent steps from email sending and receiving sides to detect spam emails. The email service provider gives daily sending limits when a user opens a new email account. However, a new account can’t use it entirely. Ideally, it takes 8-12 weeks to accomplish maximum deliverability.
