This article gives you a peek into Contact Management and Segmentation and the different concepts related to it.

The individuals we send emails to are saved as contacts in Mailmodo. All relevant details of a person are saved under contacts in Mailmodo. Each person is saved as a unique contact in Mailmodo and every contact is represented by an 

This assists in targeting different segments of the audience and sending personalised messages.

Now let us have a look at the different functionalities of contacts in Mailmodo.

A High Level view of the Contact Overview Dashboard (analytics)

The contact overview dashboard in Mailmodo is the representation of high level performance and engagement data of contacts stored in the platform.

Right from tracking the open rate, click rate and submission rate of an email campaign to tracking the percentage of contacts who opened emails in a specific client among all contacts across all campaigns to gauging the engagement by time or during the day and tracking the growth trends, that is, the percentage of new subscribers and unsubscribers of a particular campaign in Mailmodo, the contact overview dashboard provides the user with all the details they need to make a campaign successful.

Here is what it looks like on the website:

Every contact has a few characteristics/meta data associated with it which is saved in Mailmodo for future reference of the sender. An overview of contact properties can be accessed as shown in the screenshot below. 

You can access Contact Properties by clicking on the three dots next to the ‘Add contacts’ button in the contacts section in the Overview section under Contacts.

Contact properties are additional information about the contacts allowing you to personalize your communication. For example, first name, gender, age, etc. We have a list of reserved properties in Mailmodo, that have been pre-created for convenient usage. However, the user can create new properties if required by clicking on the ‘Create new’ button.

The contact properties can be stored in Mailmodo in 4 ways, that is, number, boolean, date and string.

A suppression list is a list of all contacts that have unsubscribed to email campaigns sent by the user using Mailmodo. When a contact unsubscribes to the emails sent, it is saved in the Mailmodo Suppression lists. They can be either downloaded or imported which will prevent the users from sending emails to the contacts that have blocked or unsubscribed to email campaigns.

 You can manually upload the list of contacts that have unsubscribed to emails by clicking on the import suppression list option. Every time a campaign is sent, these contacts will not be sent mails to. The following screenshot clearly demonstrates how a user can upload suppression lists on Mailmodo.

This gives information of the contacts that have unsubscribed from the different types of emails sent by the user. The suppression lists are mainly categorised into Promotional, Transactional and Unsubscribed from all emails, where the contact can choose to not receive promotional or transactional or all kinds of emails.

A contact list is where one stores and manages all contacts.In Mailmodo, a list can be imported manually, via CSV, API or Integrations. 

Here is what Lists and Segments look like in Mailmodo:

Segments are named groups of people who share characteristics or behaviours. A Segment can have many people and a person can belong to many segments. All people satisfying a certain condition can be grouped. You can use segments as recipient lists for your campaigns. 

Segments can be created based on Campaign Activity, User Properties or Custom Events. For example, a criteria for one of the segments can be, “Users who signed up on the platform in the last 7 days”.

We have 2 kinds of segments in Mailmodo. They are Static segments and Dynamic Segments.

Overview of Contact Management and Segmentation

In order to send effective emails, your system should send relevant data to Mailmodo. For example, information about your contacts and their behavior data. The emails you send and whom you send them to is of utmost importance.

Contacts are individual persons on Mailmodo. In Mailmodo, you can organize your contacts in different ways. These are Lists, Static segments and Dynamic segments.

Your contact list is where you store and manage all of your contacts. In Mailmodo a list can be imported manually, via CSV, API or Integrations.

Segments can be created based on Campaign Activity, User Properties or Custom Events. For example, a criteria for one of the segments can be, “Users who signed up on the platform in the last 7 days”.

Static Segments allow you to define exactly who belongs to it based on defined conditions. 

Static segments can be used to categories a certain group of individuals based on a historical state or a past event that is still valid today but excludes any potential future updates or conditions.

Contacts that match the conditions added at the time of creation will be added to the static segment. 

Static segment membership does not get updated when new contacts match the conditions. 

No new contacts can be added and no existing contacts can be removed from Static segments.

A segment of customers who shopped during a Sale will be eligible to certain discount codes sent as a promotion. These customers can be a part of a static segment. 

A segment consisting of contacts who spent more than $500 in your connected store between 1st April 2022 to 31st April 2022.

Dynamic segments are groups of people that you automatically populate when they meet certain conditions. 

People enter the segment when they match the conditions and they are removed from the segment when they no longer meet the conditions. 

These kinds of segments help you group people according to real-time activities. Contacts that match the segment conditions at the time of creation and in the future will be updated dynamically over time.

Dynamic segments are represented using the highlight icon below and the count of contacts qualifying the conditions at any point can be refreshed using the icon below on hover over the existing count. You can refresh your contacts in Dynamic segments to update them.

: Dynamic segments can be used to organize a list of individuals based on a certain criterion and update the list when additional people satisfy the same criterion.

A segment consisting of customers who successfully onboarded on the platform. This list should be constantly updated as new customers sign up on the platform

A segment of paid customers who hit x number of emails a month.

The number of contacts who did not receive the campaigns due to non existent email address, recipient's full inbox or other such reasons.

The number of contacts that were not sent the campaigns because they unsubscribed or got bounced in the past. 

What are these Campaigns Metrics?

The following parameters are tracked for every email campaign sent via Mailmodo:

The number of emails sent in the campaign.

The number of unique recipients who have opened the campaign.

The number of subscribers who ‘click’ on at least one link in the email.

The number of subscribers who submitted the form in the email.

The number of hard and soft bounces from the subscriber list.

The number of contacts who have unsubscribed (from your list).

 The number of contacts that were not sent this campaign because they unsubscribed or got bounced in the past.

Breaking down the KPI's

Let's take a look at the different elements of Mailmodo. 

After completing the migration process to Mailmodo, you can proceed to disconnect your Mailchimp integration. Simply navigate to the Integrations tab, choose your Mailchimp integration, and click on Deactivate. You will then be prompted with a pop-up dialog box where you can select Deactivate again and confirm that you want to remove the integration.

Home is the default section where users land whenever they login into the platform. This section provides a list of activities one needs to perform to complete the platform setup, updates on the recent campaign performance, and an account overview. 

For example, a newly signed-up user will get a step-by-step guide on setting up a sender address, creating templates, connecting with Shopify stores, etc. 

An email template is a predefined email layout that includes contents like images, text, buttons, etc. The template section allows you to choose from a list of pre-designed and customizable HTML and AMP elements. 

You can also make your template from scratch if a template of your choice isn’t available. Using the template editor, you can add various elements like tables, forms, carts, calendars, etc., using the template editor.

An email campaign is a single or series of emails sent by a marketer to achieve a specific aim. The campaign section allows you to schedule & send regular email campaigns and measure their performance. You can track key campaign metrics like open rate, click rate, submissions, etc.

The Campaigns Tab has two subcategories: 

Bulk Campaigns in Mailmodo are initiated by clients to disseminate crucial information to their contacts. These campaigns facilitate the distribution of content to a specific audience and enable monitoring of its effectiveness.

You can track the progress of your campaigns and user responses in the campaign summary that is generated. To track your campaign's performance in the future go to campaigns->select relevant campaign.

Trigger Campaigns are transactional campaigns that can be triggered through different platforms in Mailmodo. You can connect Mailmodo's trigger campaigns for a lot of different use cases in your different platforms.

These are campaigns that get triggered in response to a specific action taken by the client. The Trigger section allows you to create & send triggered campaigns and measure their performance. You can track key campaign metrics like open rate, click rate, submissions, etc.

The journey is an automated process of sending a series of personalized emails to customers when they take a certain action that sets off a specific trigger. The journey section allows you to create new journeys and edit the existing ones.

Contacts are the list of email addresses to whom you can send emails. The contacts section allows you to import & manage contacts from different sources and segment your users as per your needs.

In your app or website, events refer to specific actions performed by users, such as signing up, viewing an item, or adding an item to a wishlist. Now, you have the ability to transmit these tracked actions as 'Custom Events' to Mailmodo, which can be used for devising targeted segments and personalized campaigns. With the transmission of custom events, it is possible to segment your contacts based on the presence or absence of the events, as well as the time frame in which they occurred.

The settings section allows you to manage your account. For example, you can set up your sender email address, add team members, get API keys, update the plan, etc. 

The integration allows you to connect different platforms with Mailmodo. These platforms include Shopify, Zapier, HubSpot, Mixpanel, Calendly, Salesforce, etc.

The notification section provides updates to the users about important events, actions, and alerts about their accounts. For example, AMP whitelisting approval, daily and monthly email credit alerts, bounce rate alerts, etc.

Find missing messages with Email Log Search

If the missing message never reached Google’s servers, contact the message sender and ask them to find out what happened to the message. Ask the sender to:

Check their Sent Mail and Drafts. If the email isn't there, they might have deleted it before they sent it.

Check to see if they got a delivery error (bounce) message. Wait a few hours to see if they get a delivery error message.
